Seasonal Front Desk Receptionist Jordan Hatfield, PLLC is a small locally owned company operating in the Spokane Valley. We provide Biblically based tax and financial services by educating, removing fear, and helping our clients make well informed decisions. We are looking for a friendly, organized, detail-oriented individual who is not afraid to roll up their sleeves to get the job done to join our administrative team! Description The Front Desk Receptionist is a courteous professional with a welcoming demeanor who serves as Jordan Hatfield, PLLC’s first impression, and maintains relationships with established clients. This position performs varied clerical and front office duties requiring a basic level of knowledge of office logistics and understanding of the business, client services and procedures related to Jordan Hatfield, PLLC. Maintains a close and highly responsive relationship to the day-to-day activities of the business and staff. Works as part of the administrative support team, both independently and collaboratively. Rate of Pay: $18.00 – 23.00 per hour DOE
Seasonal Full time, non-exempt, January through April. Part Time May – December
Monday-Friday, 40 hours per week, plus limited overtime. Saturdays as needed (January – April)

Responsibilities
Welcome clients and provide assistance, both in person and by phone, email and text messaging with respect and positive professionalism. Maintain clean and welcoming lobby area.
Answer incoming calls, direct calls and/or efficiently provide client messages to staff members.
Respond quickly to staff requests for assistance with tasks.
Process and distribute incoming and outgoing mail, and documents received in person.
Accurately enter client payments into QuickBooks.
Send timely appointment reminders to clients.
Process completed tax returns, communicate with clients for retrieval of returns and documents. Provide timely reminders to clients of deadlines for signatures and filing of returns. Review contents of tax return packets with clients.
Complete New Client Intake process with all new tax return clients.
Maintain organized, accurate and up-to-date physical and electronic client files.
Other duties as assigned.
Qualifications
High school diploma or equivalent required; additional business training preferred
Minimum two years of office experience preferred
Must submit and pass a criminal background check
Ability to meet time sensitive deadlines
Demonstrated accuracy in record keeping skills required
Basic knowledge of general computer skills and e-mail required. Experience with multi-line phones, QuickBooks Desktop, Office 365, Hubspot, Jotform, Slack, software for tax preparation, messaging, and Customer Relationship Management desirable
Self-motivated with the ability to work well as a team player
High level of integrity and ability to maintain confidentiality
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit; stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. The amount of time spent lifting or exerting force is about 50% for up to 10 pounds and less than one-third of the time up to 25 – 40 pounds. Rarely is there a need to lift more than 41 pounds. Workflow may be demanding and chaotic at times requiring the need for multitasking.
